Event Funding

Several funding sources are available to officially recognized YSE groups to assist with event funding. Please review the information below thoroughly before applying.

Student-Run Speaker Events

Student Speaker Events are defined as events that are being hosted by a student group at YSE where a speaker is the feature of the event.

Budgets for student speaker events can only be applied for after the event has been approved and scheduled on the calendar. If you have not yet begun the approval process, please begin here: https://yaleconnect.yale.edu/YSEDeansOffice/event-approval-process/

Considerations

  • The community should strive to host creative, inclusive, and inspiring events at YSE. It is encouraged to open events to the wider community (Yale and New Haven) as well as broadly advertise them.
  • The YSE DEI office is pleased to offer support and resources for student-run cultural speaker events. The Office of Diversity, Equity, and Inclusion can support the allocation of funds depending on the scope, impact, and educational components of proposed events.
  • Speaker events that align with the school's strategic initiatives, foster community and inclusion, and support SAC and curriculum specializations are highly encouraged and may be eligible for additional funding.
  • Learning Communities provide an opportunity for engagement outside of the classroom. Learning Community funds may be used for local travel for academic enrichment and community building, but are not to be used for more extensive travel, such as multi-day overnight trips. LC funds cannot be used to fund individual student travel, research for academic credit, or for students to attend conferences.
  • Travel accommodations for speakers to arrive on campus (I.e., flights) may be requested through the Speaker Budget Request form.

Policies and Guidelines

  • Two or more SIGs/LCs/Groups may co-sponsor an event. Please coordinate your budgets to only submit one funding request.
  • Organizers can request up to $750 per event from the General Speaker Event Fund and up to $300 from the Office of DEI Speaker Event Fund.
  • Learning Communities each have their own limits to the amount they can award for speaker events.
  • Applicants must disclose outside funding sources, such as external donors, fundraising events, or planned sales upon submission of budget requests each semester.
  • Honorarium must be $250 or less (across all funding sources) and is only allowable for non-Yale visitors.
  • Per diem is unallowable for speakers.
  • No printing costs or disposable decorations will be covered (i.e. posters and signage).
  • No event will be retroactively funded.

Non Speaker Events

Separate funding sources are available for non-speaker events. The primary source to request event budgets from for non-speaker events is SAC, the Student Affairs Committee.

StudLi Event Funding for SIGs

Student Interest Groups (SIGs) can apply for Ad Hoc funding for events throughout the semester. All applications should adhere to the SAC funding guidelines. Ad Hoc funds are awarded on a rolling basis. You should receive your Ad Hoc decision within a week.

We encourage you to submit your application at least two weeks before the event, but they must be submitted at least five days in advance of the event.

** URGENT REQUESTS: If your request is urgent, please email sac-studli@mailman.yale.edu to alert us, in addition to submitting this form.

** NOTE: Applications for speaker events are no longer funded through this application process. See SAC guidelines for the speaker event definition.
